Controller vs Processor

Website & Enquiries: Collekt Limited acts as the Data Controller.

Platform Data: Collekt Limited acts as a Data Processor, processing data strictly on the instructions of our Clients (lenders or agencies), who remain the Data Controllers.

3. Lawful Basis (Website Data)

We process website and enquiry data on the basis of:

Our legitimate interests (responding to enquiries, improving our services), and
Consent where required for marketing communications.

A. Website & Marketing Data (Controller)

B. Platform Data (Processor)

Clients upload case data to the Collekt platform as per respective jurisdictions.
Data is processed solely on Client instructions.
Each Client’s data is logically segregated in isolated database environments.
Case records are indexed using internal Case IDs.
Where feasible, direct identifiers are minimised within operational workflows.
We may process unstructured content (e.g., transcripts, chat logs, emails) to generate operational signals and insights within secure environments.

5. International Transfers

Collekt Limited is a UK entity. Certain technology development and operational support services are provided by our wholly-owned subsidiary:

International transfers are conducted in accordance with Chapter V of the UK GDPR using appropriate contractual safeguards, including the UK International Data Transfer Agreement (IDTA).

Operational access is role-restricted and subject to technical and organisational safeguards.

6. AI and Automated Processing

We utilise enterprise-grade Artificial Intelligence (AI) and Machine Learning (ML) technologies to analyse structured and unstructured data for signal generation and performance insights.
AI processing occurs within secure cloud environments.
Client data is not used to train public AI models.
AI sub-processors operate under enterprise agreements with appropriate data protection safeguards.

7. Data Security

We implement appropriate technical and organisational measures, including:

Encryption in transit and at rest
Role-based access controls (RBAC)
Logical database separation
Audit logging and access controls

8. Data Retention

Website enquiry data is retained for a reasonable period necessary to respond to your request and for legitimate business purposes, unless you request deletion.
Retention of platform data is determined by the Client acting as Data Controller.

You may request access to, correction of, or deletion of your personal data by contacting hello@collekt.ai. You also have the right to lodge a complaint with the UK Information Commissioner’s Office (ICO).

Platform Data Subjects

If your data is processed within the Collekt platform (for example, as part of a Client’s case file), please contact the relevant lender or agency directly. As a Data Processor, we act only on Client instructions.
